Privacy policy
This privacy policy explains how TaxChecker ("we", "us", "our") collects, uses and protects any information you provide when you use our website taxchecker.uk. We are the data controller for the personal data we process under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Information we collect
1.1 Information you give us
- Tax-related figures you enter into the calculator, such as your tax code, salary, pension contributions and previous year earnings.
- Contact information you provide via our contact form, including your name, email address, and the content of your message.
- Payslip files you upload for analysis, where that feature is used.
1.2 Information collected automatically
- Standard web log information such as your IP address, browser type, approximate location, referring URL, and pages visited.
- Cookies and similar technologies used to provide core site functionality and, where you consent, to measure site usage.
2. How we use your information
We use the information we collect to:
- Provide you with tax code, PAYE, and P800 refund checks.
- Respond to enquiries submitted through the contact form.
- Protect the site from spam, fraud and abuse.
- Monitor and improve the performance of the service.
- Comply with our legal obligations.
3. Legal bases for processing
We process your personal data under the following legal bases:
- Consent where you have ticked a box or taken a positive action to agree, for example when submitting the contact form.
- Legitimate interests where processing is necessary for us to operate, secure, and improve the service, and your interests do not override ours.
- Legal obligation where we are required to process data to comply with applicable UK law.
4. How long we keep your information
Calculator inputs are processed in-memory and are not stored once a session ends, unless you explicitly choose to save a profile. Contact form submissions are retained for up to 24 months so we can follow up on your enquiry, after which they are deleted. Web logs are retained for up to 90 days for security and performance purposes.
5. Sharing your information
We do not sell your personal data. We share data only with:
- Service providers who host our infrastructure and process messages on our behalf under written data processing agreements.
- UK law enforcement or regulators where we are legally required to do so.
We do not share your information with HMRC unless you instruct us to do so through a specific, opted-in feature.
6. International transfers
Your data is primarily processed in the United Kingdom. Where a service provider processes data outside the UK, we rely on UK GDPR approved safeguards, including the UK International Data Transfer Agreement or the Addendum to the EU Standard Contractual Clauses.
7. Your rights
Under UK GDPR you have the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate data.
- Request erasure of your data where there is no good reason for us to continue processing it.
- Object to processing based on legitimate interests.
- Request restriction of processing in certain circumstances.
- Request transfer of your data to another provider.
- Withdraw consent at any time where we rely on consent.
To exercise any of these rights, please email us at hello@taxchecker.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
8. Cookies
We use a small number of cookies to provide core site functionality, remember your preferences, and, where you consent, to measure site usage. You can control cookies through your browser settings. Blocking all cookies may affect how the site works.
9. Security
We use industry-standard measures including HTTPS encryption in transit, encryption at rest for stored data, strict access controls, and regular security reviews to protect your data. No system is perfectly secure, and we cannot guarantee the absolute security of data transmitted over the internet.
10. Changes to this policy
We may update this privacy policy from time to time. The "last updated" date at the top of this page reflects the most recent revision. Material changes will be notified on the home page.
